Facility Use and Event Insurance

Facilities and Grounds Use Policies and Guidelines

Facility and grounds use is regulated by the institution’s Facilities and Grounds Policy (UWW 740), and by Chapter UWS 18 and Chapter UWS 21 of the Wisconsin Administrative Code.

Any events or facility uses that involve minors or youth programs must complete the training requirements outlined on the Youth Compliance Services website and fulfill the necessary event insurance requirements.

UW-Whitewater Event Insurance Requirements

 All non-university individuals or groups (third parties) requesting space for any reason at the University will be required to obtain and provide proof of liability insurance. Specifically, the use of UW–Whitewater facilities by third parties in non-sponsored UW–Whitewater events will require the following:

  • Completed Facility Use Agreement on file with the applicable campus unit contact.

    For questions and review, send draft Facility Use Agreement to ocrm@uww.edu for consultation with the Office of Compliance and Risk Management prior to contract finalization and signature.

  • Obtain Certificate of Insurance (COI) evidencing appropriate insurance coverage and submit to ocrm@uww.edu for review and approval. The COI shall be maintained with the Office of Compliance and Risk Management. 

Insurance coverage requirements will vary depending on facility use type. However, standard event minimum coverage typically includes:

Additional Insured Provision:

The third-party shall add the “Board of Regents of the University of Wisconsin System, its officers, employees, and agents” as an additional insured under the commercial general, SAM, and automobile liability policies, or other policy as specified by the University.

Additional Requirements for Youth Activities

In addition to the standard event coverage requirements, third parties that host events that involve minor participants may be required to obtain the following coverages:

Students and Student Organizations
Since most student and student organization activities are not covered by the University’s liability programs, students and student organizations may be required to obtain separate coverage prior to utilizing UW-Whitewater facilities. The Office of Compliance and Risk Management shall review requests for facility use from students and student organizations to determine if obtaining separate coverage is necessary.
